As the Executive Assistant to the Director, you will provide comprehensive and confidential administrative support, enabling the Director to lead effectively. You’ll manage correspondence, coordinate meetings, prepare reports, and ensure the Director is well-prepared for all commitments. You’ll also assist with activities across teams within the Division, contributing to a collaborative and high-performing environment.
Key Responsibilities
- Manage the Director’s diary, correspondence, and meeting logistics.
- Prepare agendas, minutes, reports, and presentations.
- Maintain confidentiality and manage sensitive information with discretion.
- Liaise with internal and external stakeholders to facilitate smooth communication.
- Provide secretarial support for meetings and workshops.
- Coordinate travel, events, and office supplies.
- Process invoices and expenses accurately and efficiently.
- Support document and information system management.

$84,384.56- $96,228.08 + 12% Superannuation
Some of the required skills, experience and qualifications
- Certificate level qualification or equivalent in office/business administration and or relevant experience working in a similar role in a diverse organisation.
- Proven experience in a senior executive administrative role
- Excellent skills in using office computer applications and the ability to adopt new technology.
- Demonstrated ability to work proactively in a dynamic environment
- Demonstrated ability to self-manage a high and varied workload, organise priorities, undertake research and work effectively in a team environment, with minimal supervision.
- Excellent written and verbal communication skills with strong interpersonal, liaison and negotiation abilities including the ability to build and maintain respectful relationships with staff at all levels and with external entities.
- Demonstrated ability to deal with information with high sensitivity and confidentiality.
- Strong customer focus with the ability to respectfully handle enquiries and resolve or refer complaints
- High attention to detail and an ability to produce work with accuracy
